Who we are
The Hamilton Camera Club is a not-for-profit, volunteer-based organization that aspires to motivate, educate and inspire our club members during the pursuit of their still photography activities. What data we collect and store
While purchasing a Club Membership or paying fees for other offered activities we will collect relevant information about your purchase, your contact information and/or your participation in various activities.
While you visit our site, we might track:
- Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
- Location, IP address and browser type: we’ll use this for purposes like monitoring our web site traffic.
When you purchase from us, we’ll ask you to provide information including your name, billing address, email address, phone number, and possibly credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:
- Send you information about your account and order
- Respond to your requests, including refunds and complaints
- Process payments and prevent fraud
- Set up your member or customer account for our site
- Comply with any legal obligations we have
- Improve our program offerings, and
- Send you email messages about club activities should you choose
If you create an user account, we will store your name, address, email and phone number, which will be used to populate the checkout for future orders.
In addition, we also use cookies to keep track of cart contents while you’re browsing our site. More information about the cookies we install can be found below.
How long we retain your data
We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are no longer legally required to continue to keep it. For example, we will store order information for 7 years for tax and accounting purposes. This includes your name, email address and billing and shipping addresses.
If you leave a comment or submit a review, the comment or review and the associated metadata are retained indefinitely.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
Who on our team has access to your data
The Club’s Webmaster, Membership Chairperson, Treasurer and their delegates have access to the some of the personal information you provide us. For example, both Administrators and Shop Managers can access:
- Order information like what was purchased, when it was purchased and where it should be sent, and
- Customer information like your name, email address, and billing and shipping information.
In addition, some executive members such as the Projected and Print Chairpersons as well as our CAPA and OCC representatives have access to any images and/or videos you have provided as well as your email. This information is used to process clinic and competition entries.you.
Who we share your data with
The Hamilton Camera Club will never sell your data to anyone and we will take reasonable measures to ensure that your data is safe when it is stored on our web site.
However, we may sometimes share some of your information with other club members and third parties who help us provide our service to our members; for example,
- Outing and Workshop leaders may be provided with your email address;
- External photographic organizations competitions such as CAPA, OCCC and the CWM Rhondda International Photographic Battle may be provided with your images and/or email address.
- Online comments may be checked through an automated spam detection service.
If you request a password reset, your IP address will be included in the reset email that will be sent to the email address we have associated with your user account.
Also, because we accept payments through Stripe, when processing online payments, some of your data will be passed to Stripe, including information required to process or support the payment, such as the purchase total and billing information.

What rights you have over your data
If you have a user or member account on this site, have left comments, or submitted images for competitions, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal textual data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes and, unfortunately, it will not always be possible to remove all images that you have submitted but we will make reasonable efforts to do so.
Comments
When site visitors leave online comments or provide reviews for this site. We collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to a third-party service to determine if you are using that service. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images or video content to this website, you should be aware that visitors to the website can download and extract any location and other EXIF data from images on the website.
In addition, any images or video submitted for HCC clinics, galleries, contests or other activities may be used for educational purposes, the promotion of the Club, may be made publicly available on this website or entered in affiliated competitions such as CAPA or OCCC competitions. The HCC will make a reasonable effort to ensure that appropriate credits will be shown along with any image or video but we cannot guarantee that each image will be properly attributed to its original maker.
Cookies
Log-In
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
Articles
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Comments
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
